Who is responsible

Enquiries

When you send the enquiry form we keep what you type: your name, email address, organisation, the course or support you are interested in, group size, town or postcode, and anything optional you add such as a phone number, preferred dates, a message or how you heard about us. We also note which page you sent it from.

If you arrive through a labelled campaign link (for example on LinkedIn), we also save its source, medium, campaign, content and term labels with your enquiry to understand which enquiries lead to bookings. These labels stay in this tab’s memory during navigation, not in cookies or persistent browser storage, and reset when you reload or close the tab. We do not collect full referring URLs or advertising click IDs. Please do not put personal or health information in campaign labels.

We use this to respond to your enquiry, prepare a quote and, if you go ahead, arrange the training or support you agree. The lawful basis is our legitimate interest in responding to enquiries you choose to send. We do not add you to a mailing list and we do not send marketing.

Course feedback

The feedback form asks for your name and email address, which are required, and optionally the course name, course date and trainer. It then asks how you rated the course and a few optional written questions. Feedback is not anonymous to Victoria: your name and email are stored privately with your response. If you tick the box giving permission to be contacted, Victoria may email you about your feedback only - never for marketing.

We use feedback to improve the training. The lawful basis is our legitimate interest in improving course quality. Full responses and contact details are stored privately. Only if you separately opt in may your written feedback be shared anonymously on our website or social media. Sharing is based on your consent, never happens automatically, and does not include your name, email or contact details. You can ask Victoria to withdraw this permission using the contact form; include your feedback reference if available.

Please do not include medical or health details about yourself or anyone else in either form.

Where it is kept

The website is hosted on Replit. Enquiries and feedback are stored privately and can only be seen by the owner after signing in; owner sign-in uses Clerk. When email notifications are switched on, a short notification is sent to Victoria through the email provider Resend so she knows something new has arrived. Your details are saved even if that notification does not go out.

Your choices

You can ask to see, correct or delete details you sent by emailing victoria@happymentalhealth.co.uk. Deleting an enquiry or feedback entry permanently removes its personal details from the website.

Delegate and owner accounts

Signing in for course materials or site editing uses a separate account service (Clerk). This notice is mainly about the two forms.
